Universalogix (“Universalogix,” “we,” “us,” or “our”) operates the website www.universalogix.com and provides messaging, automation, and business communication services, including services that integrate with the WhatsApp Business Platform (via Meta Platforms, Inc.) (“Meta”). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website, products, and services (collectively, the “Services”), including any Services that send or receive messages through WhatsApp.

By using our Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our Services.


1. Who This Policy Covers

This policy applies to:

  • Visitors to www.universalogix.com
  • Business customers (“Tenants”) who use our platform to communicate with their own end users over WhatsApp and other channels
  • End users who receive or send messages through a Tenant’s WhatsApp Business Account that is powered by our platform

If you are an end user messaging a business that uses our platform, that business is responsible for its own privacy practices and consent collection. This policy describes how we, as the technology provider, process data on their behalf and on our own behalf.


2. Information We Collect

2.1 Information You Provide Directly

  • Account and registration details (name, business name, email address, phone number, billing details)
  • Information submitted through contact forms, support tickets, or onboarding
  • Content of messages, templates, and media you create or upload to send via WhatsApp or other channels

2.2 Information Collected Through WhatsApp Business Platform Integration

Because our Services connect to the Meta WhatsApp Cloud API, we process the following on behalf of our Tenants:

  • WhatsApp end-user phone numbers (WhatsApp ID / WA ID)
  • Message content, timestamps, delivery and read status
  • Media shared within conversations (images, documents, audio, video, location)
  • WhatsApp profile information made available via the API (e.g., profile name)
  • Message template performance and quality/engagement metrics provided by Meta
  • Metadata Meta provides about message delivery, errors, and account quality ratings

2.3 Information Collected Automatically

  • Log data, IP address, browser type, device identifiers, and usage patterns when you visit our website or use our web application
  • Cookies and similar tracking technologies (see Section 8)

2.4 Information From Third Parties

  • Information from Meta/WhatsApp Business Platform APIs
  • Information from payment processors when you subscribe to paid plans
  • Information from identity or business verification providers, where applicable

3. How We Use Information

We use the information described above to:

  1. Provide, operate, and maintain the multi-tenant messaging platform, including sending and receiving WhatsApp messages on behalf of Tenants
  2. Authenticate users and secure Tenant accounts
  3. Enable features such as automated replies, chat routing, campaign delivery, and analytics/reporting
  4. Monitor message deliverability, template quality, and WhatsApp Business Account health as required by Meta’s policies
  5. Detect, prevent, and investigate fraud, abuse, spam, or violations of our Terms of Service or Meta’s WhatsApp Business Messaging Policy
  6. Communicate with Tenants about their accounts, billing, and service updates
  7. Improve, test, and develop new features
  8. Comply with legal obligations and enforce our agreements

We do not sell end-user or Tenant data to third parties.


4. Our Role and Meta’s Role

Our platform acts as a Business Solution Provider / technology intermediary connecting Tenants to the WhatsApp Business Platform. In this arrangement:

  • Tenants are the businesses that own the relationship with their WhatsApp end users and are responsible for obtaining valid opt-in consent before messaging them, in accordance with Meta’s WhatsApp Business Messaging Policy.
  • Universalogix processes message data as a service provider to enable delivery, storage, and management of conversations on the Tenant’s behalf.
  • Meta independently processes data transmitted through the WhatsApp Business Platform in accordance with the Meta Privacy Policy and WhatsApp Business API Terms.

We encourage end users to also review Meta’s and WhatsApp’s own privacy terms, since message transmission occurs through their infrastructure.


5. Legal Basis for Processing (Where Applicable)

Where required by law (e.g., GDPR), we rely on the following legal bases:

  • Consent — where a Tenant has obtained end-user opt-in for WhatsApp messaging
  • Contractual necessity — to provide the Services a Tenant has subscribed to
  • Legitimate interests — for platform security, fraud prevention, and service improvement
  • Legal obligation — to comply with applicable law or Meta’s platform requirements

6. How We Share Information

We may share information with:

  • Meta/WhatsApp, as required to transmit and receive messages through the WhatsApp Business Platform
  • Sub-processors and infrastructure providers who support hosting, storage, and message queuing (e.g., cloud hosting, object storage, and messaging infrastructure used to operate the platform)
  • Payment processors, for billing purposes
  • Professional advisors and authorities, where required by law, regulation, or legal process
  • Business transfer parties, in the event of a merger, acquisition, or sale of assets, subject to standard confidentiality protections

We require all sub-processors to protect data under confidentiality and security obligations consistent with this policy.


7. Data Retention

  • Message content and metadata are retained for as long as reasonably necessary to provide the Services, support Tenant operations, and meet Meta’s platform and audit requirements, after which they are deleted or anonymized.
  • Account and billing data are retained for the duration of the account relationship plus any period required by law (e.g., tax and accounting requirements).
  • Tenants may request deletion of end-user conversation data, subject to legal retention obligations.

8. Cookies and Tracking Technologies

Our website may use cookies and similar technologies to:

  • Keep you signed in
  • Understand site usage and improve performance
  • Support analytics

You can control cookies through your browser settings. Disabling cookies may affect certain website functionality.


9. Data Security

We implement administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction, including encryption in transit, access controls, and network security measures. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.


10. International Data Transfers

Depending on where our infrastructure and sub-processors (including Meta) are located, information may be transferred to and processed in countries other than your own. Where required, we take steps to ensure such transfers comply with applicable data protection laws.


11. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction or deletion of your data
  • Object to or restrict certain processing
  • Request data portability
  • Withdraw consent (for WhatsApp messaging, this includes replying STOP or contacting the relevant Tenant business directly)

Requests relating to a specific business’s WhatsApp communications should first be directed to that business (the Tenant), as they control the end-user relationship. Requests relating to our own processing as a platform provider can be sent to the contact details in Section 14.


12. Children’s Privacy

Our Services are not directed to individuals under the age of 18 (or the applicable age of digital consent in your jurisdiction), and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can take appropriate action.


13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or Meta’s platform policies. We will post the updated version on this page with a revised “Last Updated” date. Material changes will be communicated to Tenants where appropriate.
